Referral Program

Overview

With the referral program your existing customers can invite new customers to your courses. The new customer enters the inviter’s personal referral code when enrolling, and both can get a reward.

  • The referrer is the customer who shared their code.
  • The referee is the new customer who enrolled with the code.

Each of them can be rewarded in one of four ways:

Reward type What the customer gets
Percentage discount A discount of the given percentage.
Absolute value discount A discount of a fixed amount of money.
Store credit A fixed amount of store credit (account balance) at your school.
Store credit (% of course price) Store credit equal to the given percentage of the course price.

When the referee gets a discount, it comes off their enrollment straight away. All other rewards are given the morning after the course starts, once the referee’s enrollment is paid.

Setting Up the Referral Program (School Administrators)

1. Turn the program on

Go to the school settings, Courses tab. The other referral settings appear when you switch on Referral program enabled.

Setting Description
Referral program enabled Turns the referral program on or off for your school.
Referee inactivity period (months) 6, 9 or 12 months. Only a customer who has not enrolled in any course during this period can use a referral code, so existing regular customers cannot use the program to get a discount. Cancelled enrollments are not counted.
Referrer bonus type How the referrer is rewarded: percentage discount, absolute value discount, store credit, or store credit (% of course price).
Referrer bonus value The size of the referrer’s reward. The field shows whether the value is a percentage or an amount of money.
Referee bonus type How the referee is rewarded (same four options).
Referee bonus value The size of the referee’s reward. Set it to 0 to reward only the referrer.

2. Choose which courses accept referral codes

Referral codes only work on courses whose course category accepts them. Open each course category you want to include and set Courses accept referral codes:

  • Yes: courses in this category accept referral codes.
  • No: they don’t.
  • same as parent category: the category follows its parent category. A top-level category set to this option does not accept referral codes.

This setting is visible only when the referral program is on.

3. Make sure customers can use their rewards

  • Discount rewards for the referrer: the referrer’s discount code can only be used if discount codes are in use. Check that Codes enabled is on in the school settings, General tab.
  • Store credit rewards: store credit can only be spent if customers can pay with it. Check that Allow payments by account saldo is on in the school settings, Payments tab. You can also turn it on or off for an individual course.

How It Works, Step by Step

1. The referrer gets their code

A customer finds the Referral code field on the Profile tab of their own user page. The first time, they click Generate to create the code. The code is five characters long (for example K7M3P) and does not change after that. As an administrator, you can also generate a code from a customer’s user page.

Under the code, the customer can see how many times it has been used (Used), how many rewards are still waiting for a course to start (Pending) and how many have been given out (Paid). With store credit rewards the amounts are shown too.

The referral code field is shown only while the referral program is on.

2. The referee enrolls with the code

The referee types the code into the enrollment form. If your school uses discount codes, there is one field for both, labelled Code or referral code. If discount codes are not in use, the field is labelled Referral code.

The system checks first whether the text is a valid discount code. If it isn’t, the system treats it as a referral code.

The field appears only for customers who can use it: the referral program is on, the course accepts referral codes, and the customer has not enrolled in any course during the inactivity period.

Note: A referral code cannot be combined with a discount code on the same enrollment.

If the referral code cannot be accepted, the enrollment is not created. The customer goes back to the form with an error message (for example “Referral code is invalid”), and they can remove the code or correct it. See the eligibility rules below.

3. The referee gets their reward

  • Percentage or absolute value discount: the discount is applied when the enrollment is saved, and the referee gets an email about it. A percentage discount is calculated from the price of the enrollment. If the customer enrolled in only some sessions of a course, it is calculated from the price of those sessions.
  • Store credit or store credit (% of course price): nothing changes at enrollment. The morning after the course starts, the credit is added to the referee’s store credit at your school and they get an email. The percentage is calculated from the price of the enrollment, in the same way as a percentage discount.

4. The referrer gets their reward

The morning after the referred course starts, the system gives the referrer their reward and emails them:

  • Percentage or absolute value discount: a personal discount code is created for the referrer. It is valid for one year and can be used for course enrollments only. When the referrer next enrolls in a course, the code is shown under the code field, and they can click it to use it.
  • Store credit or store credit (% of course price): the credit is added to the referrer’s store credit at your school. The percentage is calculated from the price of the referee’s enrollment. If the referee enrolled in only some sessions of a course, it is calculated from the price of those sessions.

The referrer gets a separate reward for every new customer who enrolls with their code.

Important: Rewards given at course start (both store credit and referrer rewards) need a paid payment on the referee’s enrollment. A cancelled enrollment gets no rewards. The system checks every night, so if the referee pays after the course has started, the rewards are given the morning after the payment. It keeps checking for 90 days after the course start. If you give a reward by hand instead, set Referral bonuses distributed to Yes on the enrollment, so the system doesn’t give it as well.

Email Notifications

Reward type Email to the referrer Email to the referee
Percentage discount The morning after the course starts, with the new discount code At enrollment, confirming the discount
Absolute value discount The morning after the course starts, with the new discount code At enrollment, confirming the discount
Store credit The morning after the course starts, with the credit amount The morning after the course starts, with the credit amount
Store credit (% of course price) The morning after the course starts, with the credit amount The morning after the course starts, with the credit amount

If a reward cannot be given for a technical reason, the school’s administrators get an email listing the affected enrollments.

Following the Program (School Administrators)

  • Referral bonus overview in the reports: every customer who has a referral code, how many times the code has been used, and how many rewards are pending and how many have been given out (with amounts for store credit rewards).
  • Enrollments overview report: when the program is on, a Referrals column shows how many enrollments were made with a referral code.
  • Enrollment page: shows the referral code that was used, and the Referral bonuses distributed field. You can change this field yourself, for example after giving a reward by hand.

Eligibility Rules

A referral code is accepted only when all of the following are true:

  1. The school’s referral program is on.
  2. The course’s category accepts referral codes.
  3. The referee has not enrolled in any course during the inactivity period (cancelled enrollments are not counted).
  4. The code belongs to an existing user.
  5. The referee is not using their own code.
  6. The referral is not circular: if customer A enrolled with B’s code, B cannot enroll with A’s code during the inactivity period. After the period has passed, they can use each other’s codes again.
  7. No discount code is used on the same enrollment.

If a rule is not met, the customer gets an error message and the enrollment is not saved until they remove or correct the code.

Notes for Customers

  • Your personal referral code is on the Profile tab of your user page. If you don’t have one yet, click Generate.
  • Share the code with friends who haven’t taken a course with us recently. They enter it in the Code or referral code field when enrolling.
  • If your friend gets a discount, it is shown on their enrollment straight away.
  • Your own reward, and your friend’s store credit reward, are given the morning after the course has started and your friend has paid for it. You will get an email about it.
  • A discount code reward is valid for one year. The next time you enroll in a course, it is shown under the code field, and you can click it to use it.
